Pat the Dog Productions is a designer-led virtual interior design studio. We collect only the information we reasonably need to respond to enquiries, understand a home and its occupants, provide our services, take payment, run our website and meet our legal obligations.
This policy applies to Pat the Dog Production Pty. Ltd. trading as Pat the Dog Productions, (we, us), and to patthedog.pro, our enquiries, consultations and client projects.
Most Australian small businesses with annual turnover of $3 million or less are not covered by the Privacy Act 1988 (Cth), although exceptions apply. Whether or not the Act applies to us, this policy explains the standards we intend to follow. Where the Privacy Act, Australian Privacy Principles (APPs), GDPR, UK GDPR or another privacy law applies, we will also meet those legal requirements.
1. Information we collect
Depending on how you interact with us, we may collect:
identity and contact details, such as your name, email address, telephone number, billing details and country;
enquiry and booking information, including the service you are interested in, preferred consultation date and project location;
project information, such as plans, measurements, photographs, videos, property details, household needs, lifestyle preferences, budget, feedback and decisions;
images or details of furniture, art and other items you would like us to consider;
transaction and account records, including invoices and payment status (payment-card details are generally handled by our payment provider rather than stored by us);
communications, consultation notes and, only with notice or consent where required, audio or video recordings;
website and device information, such as IP address, browser, device type, pages visited, referring page and cookie preferences; and
marketing preferences and any feedback, testimonial or portfolio permission you choose to provide.
We do not intentionally collect sensitive information. Please do not send health, identity-document, financial-account or other sensitive information unless we specifically request it and it is reasonably necessary for your project.
2. How we collect information
We collect information directly from you when you use our website form, email or call us, book a consultation, complete a questionnaire, attend a meeting, pay an invoice or work with us on a project.
We may also receive information from a person you authorise, a referral source, your architect, builder, trade or supplier, publicly available sources, and service providers that help us operate the website and business.
Our website is hosted by Squarespace. Forms may use Google reCAPTCHA to reduce spam. When enabled, Acuity Scheduling will process booking information. These providers may collect technical or usage data under their own privacy terms.
3. Why we use information
We use personal information to:
respond to enquiries, assess project fit and prepare proposals;
book and deliver consultations and design services;
understand the space, the way you live, what you love and what you wish to keep;
create, revise and deliver design concepts, visualisations, schedules and source lists;
manage billing, payments, records, support and disputes;
communicate with suppliers, trades or consultants when you ask us to;
secure, maintain and improve our website, services and client experience;
send marketing only where permitted, with a clear way to unsubscribe; and
comply with law, protect rights and prevent fraud, misuse or security incidents.
Where European or UK privacy law applies, our legal bases are usually performance of a contract or steps requested before contract, our legitimate interests in operating and improving a small design business, compliance with legal obligations, and consent where required (including for non-essential cookies or certain marketing).
4. When we share information
We may share relevant information with:
website, scheduling, email, cloud-storage, video-conferencing, accounting, payment, analytics and security providers;
contractors or professional advisers who help us provide the services or run the business;
suppliers, trades and consultants where you ask us to contact them or sharing is reasonably necessary for your project;
insurers, lawyers, accountants, regulators, courts or authorities where reasonably necessary or required by law; and
a purchaser or successor if the business is sold or reorganised, subject to appropriate confidentiality and privacy safeguards.
We do not sell personal information. We do not permit service providers to use project information for their own marketing.
5. Overseas processing
Because our services are online and some providers operate internationally, personal information may be stored or processed outside Australia. Likely locations may include Australia and United States.
Where required, we take reasonable steps to use providers and contractual arrangements that protect personal information. Overseas recipients may be subject to different privacy laws.
6. Cookies and website analytics
Our website uses necessary cookies so it can function. With your permission, it may also use analytics or performance cookies to understand how visitors use the site. Embedded third-party services may use their own cookies or similar technology.

7. Marketing
We may send service messages connected with an enquiry, booking or project. We send promotional email only where permitted. You can unsubscribe through the email link or contact us. We may still send essential project, transaction or legal messages.
8. Security and retention
We use reasonable administrative, technical and physical safeguards appropriate to a small online design studio. No internet or storage system is completely secure, so we cannot guarantee absolute security.
We retain personal information only as long as reasonably necessary for the purposes described above, including legal, tax, insurance, warranty, dispute and record-keeping needs. As a working guide, we expect to retain:
client contracts, invoices and core project records for at least seven years after the relevant financial year, where needed for legal and tax records;
design files and project communications for seven years after completion, unless a longer period is reasonably required;
unsuccessful enquiries for up to two years; and
marketing records until you unsubscribe or the information is no longer useful.
We may keep de-identified information and approved portfolio material for longer. Confirm these periods with your accountant, insurer and solicitor before publication.
9. Access, correction and privacy rights
You may ask for access to personal information we hold about you or request correction. Depending on the law that applies, you may also have rights to deletion, restriction, objection, portability and withdrawal of consent.
Send a request to hey@patthedog.pro. We may need to verify your identity. We will respond within a reasonable period and, where a specific law applies, within that law's timeframe. If we cannot fulfil a request, we will explain why unless the law prevents us.
10. Complaints
Please contact us first at hey@patthedog.pro with the words ‘Privacy complaint’. We will acknowledge the complaint and aim to respond within 30 days.
If the Australian Privacy Act applies and you are not satisfied, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au. If European or UK privacy law applies, you may also complain to your local supervisory authority.
11. Children
Our website and services are intended for adults. We do not knowingly collect personal information directly from children. If project information includes a child, the responsible adult should provide only what is reasonably necessary for the design brief.
12. Third-party sites
Our website may link to supplier, social-media or other third-party sites. Their privacy practices are their responsibility. Please review their policies before providing information.
13. Changes to this policy
We may update this policy when our practices, providers or legal obligations change. The current version will appear on this page with its effective date. We will give additional notice if a change materially affects how we use information already collected, where required.
